Responsibilities

  • Maintain and update the leadership team’s calendar
  • Set clear expectations for the executive's daily schedule each morning
  • Communicate all scheduling details to internal and external stakeholders
  • Act as a central point of contact, managing incoming calls and messages
  • Qualify incoming vendor and direct inquiries appropriately acting as “gatekeeper”
  • Organize and schedule appointments, meetings, and tasks using Leap CRM
  • Prepare reports and documents for meetings and presentations
  • Assist in collecting and organizing data for executive decision-making
  • Create and format documents, reports, and presentations
  • Plan and coordinate company events, conferences, and seminars
  • Handle logistics for events, including scheduling, venue selection, and catering
  • Manage flight and hotel bookings for events for the leadership team
  • Ensure events run smoothly and efficiently
  • Manage multiple tasks and projects simultaneously
  • Coordinate task efforts among different teams and stakeholders
  • Ensure projects are on track and deadlines are met
  • Follow up on action items to ensure completion
  • Safeguard sensitive information, documents, and discussions
  • Handle confidential data and communications with the utmost discretion
  • Ensure that proprietary and confidential information is not disclosed to unauthorized individuals
  • Assist with various administrative tasks
  • Manage phone systems and answering service software
  • Assist with various marketing initiatives e.g., creative, digital, print, etc.

Experience Requirements

  • Task Management: Proven ability to manage multiple tasks simultaneously
  • Time Management: Self-discipline to create and adhere to a well-structured daily schedule
  • Communication: Articulate verbal and written communication skills
  • Software Proficiency: Knowledge of relevant software applications, including full suite of MS Office and Google Drive
  • Bachelor's degree preferred
